Approval Cycles

The right review.
Every time.

Claims Letters™ connects your team structure with each template's approval requirements, automatically routing letters to the people who need to review them.

Your Administrative Framework

Organize your team.
Connect the approval path.

Organize your claims department and involved ancillary teams into groups in the Administrative Suite. Designate a Group, Senior, and Company Approver for each group to establish its approval hierarchy.

Where needed, limit the product lines or products available to a group. Adjust assignments as your organization changes, with ad hoc routing available when a letter needs additional review.

Your team structure

One group. A defined hierarchy.

Each template determines which levels a letter must follow.

Template Approval Requirements

Set the approval style.
The letter follows it.

Predetermine each template's approval requirements. When a letter needs one, two, or three levels of approval, it routes through the corresponding approvers in the team's hierarchy.

One Level

Group approval

  1. Group Approver

A single required approval before distribution.

Two Levels

Group + Senior

  1. Group Approver
  2. Senior Approver

Approval advances to the senior approver before distribution.

Three Levels

The full hierarchy

  1. Group Approver
  2. Senior Approver
  3. Company Approver

All three approval levels are required before distribution.

Designated Approvers

Assign specific users as approvers for a particular template when it needs a different approval route.

The Reviewer Experience

Review. Decide.
Keep the letter moving.

Approvers receive notifications when new letters need their attention. Letter Managers have additional tools to adjust letter details unavailable to standard Letter Writers, along with clear options for what happens next.

Approve

Advance the letter.

Send the letter if this is its final required approval. If another approval level is required, the letter moves to the next approver.

Next approver or distribution
Forward

Bring in another reviewer.

Forward a letter to another user for additional or specialized review and approval on an ad hoc basis.

Additional review
Deny

Return for revision and review.

Return the letter to its original author with a note, and record an internal note the drafter cannot see. After changes, a letter that requires approval returns to the approver for review.

Revise and resubmit for approval
Deny – Fix-and-Send

Request a fix without repeating your step.

Return the letter to its author with a note. Once revised and sent again, it skips approval by the reviewer who selected Fix-and-Send. Any remaining approval levels still apply.

Next required approval or distribution
Final Approval

Authorize final distribution.

Company Manager access only

Users with Company Manager access can apply Final Approval to bypass any remaining approval requirements and send the letter.
